How Group Email Works

Your group uses email to keep members connected. Here's how it works and what to expect depending on how your group is set up.

Your group leaders send updates, reminders, and news to all members. You receive these messages in your inbox.

If you want to reach the group's leadership, you can reply to any message or send an email to the group address. Your message goes directly to the group administrators, not to the full membership. This way you can ask questions or raise concerns without emailing everyone.

Announcements

Announcements

Some messages are marked as announcements. These are important notices that go to every member regardless of other settings. You'll recognize them by [ANN] in the subject line.

Announcements are one-way. They're meant to inform, not to start a conversation. If you need to respond to an announcement, reply directly to the sender or contact your group administrator.

Group Discussion

Some groups are set up for open conversation. Every member can send to the group, and every member receives the message. This works well for project teams, committees, and planning groups where everyone needs to be in the loop.

When you send a message to the group address, it goes to all members. Keep this in mind and use it for things the whole group needs to see.

Managing Your Preferences

You control how you receive group email. Visit your Subscription Settings (linked from any group email footer) to choose:

  • Each email — get every message as it's sent (default)
  • Daily digest — one summary email per day
  • Weekly digest — one summary email per week
  • None — stop receiving group emails while staying a member

Common Questions

Why am I muted instead of removed from the group?
Muting pauses your email delivery without removing you from the group. You keep your membership, your role, and your access to group content. If circumstances change, your delivery can be resumed instantly without re-adding you or losing any history. It's a lighter touch that respects your membership while giving you control over your inbox.
Can I reply to a group email?
It depends on how your group is configured. In some groups, your reply goes to all members. In others, it goes only to the group administrators. Check with your group leader if you're unsure.
What does [ANN] mean in a subject line?
It marks the message as an announcement. Announcements go to all members and are meant as one-way notices. They're used for important updates that everyone needs to see.
I'm getting too many emails. What can I do?
Switch to daily or weekly digest mode in your subscription settings. You'll get one summary email instead of every individual message. Or choose "None" to pause delivery entirely without leaving the group.
